Workflow: Reassign a task

Use this action to update the owner of a running or snoozed task on this instance to a different user or group

Use case

  • If a task hasn’t been completed by someone in 5 days, assign it to their manager
  • If a task hasn’t been completed by someone in 5 days, assign it to a group
  • If a task’s assigned user goes on vacation, assign the task to their backup

How to configure this action

The action configuration can only be performed by admins. Only admins will be able to start an instance of a Workflow that contains this action.

Fields for this action

  • Task name

    • The name of the task to reassign.
    • This may not be the same as the task display name.To get the task name, go to the task’s Configure Task page and copy the part of the URL after /tasks/.
  • Assign To

    • Assign the task to a group or individual.
    • Enter a username, email address, or a group name.
  • Output Field Prefix

    • To help keep output fields organized, choose an output field prefix to add to the beginning of each output field name as this action may output more than one field.
    • The step’s name is used as the prefix by default.

What will this output?

This action may generate multiple fields. To help keep output fields organized, the prefix above will be added to the beginning of each of the output field names, separated by two dashes. Each field will result as:{{output-field-prefix--output-field}}. Learn more

The action will reassign the task to the person or group in the Assign to field. If the username, person, or group is not found, the action will require the owner to fix the task and enter a new assignee.

The instance will also return multiple fields.

Output fields for this action

  • Previously Assigned To

    • Who the task was assigned to before
  • New Assigned To

    • Who the task is now assigned to
  • Status

    • Returns “completed” when the process has finished
  • Status Description

    • Provides additional detail in case of a non-completed status
