Extract data from incoming emails into fields

🕙  1 minute read

You can use Catalytic to handle or interact with your incoming emails. You can use actions like Email: Wait for reply to convert replies into fields, or the Email trigger to start an instance when an email is received.

Different email actions handle replies differently. For example, the Email: Send an Email action turns all email responses into comments on the Workflow instance. Check each email action to understand how a reply is handled.

Send an email and turn a reply into fields

Use the Assign an email task action to send a manual task to someone through email—this even works for people without a Catalytic account.

If the user replies to the email, fields are created out of the body text of an email, the sender’s email, the sender’s full name, the date it was sent, the subject line, and also creates a field for each attachment. The following fields are all available with this action:

You can also enable email tracking for the assign an email action.

Set up a custom inbox and turn incoming emails into fields

The email trigger is a great way to involve non-Catalytic users in a Workflow, and generate field data from an email. With the email trigger, an instance of a Workflow starts every time an email is sent to a custom email address.

Each email trigger is set up with a unique email address with the format {your-custom-address}@{your Catalytic team}.pushbot.com, such as submitaclaim@teamalpha.pushbot.com You can change the address at any time from the triggers page of your Workflow.

The trigger creates fields out of the body text of an email, the sender, the sender’s full name, the date it was sent, the subject line, and also creates a field for each attachment. There are even more fields, check them all out in the email trigger article.

Sorry about that. What was the most unhelpful part?
